AI-Powered CRM Automation

Make.com pipelines, lead nurture engines, and CRM lifecycle automation

The problem

Inbound leads arrived from multiple channels — forms, ad engagement, messages — and sat in disconnected tools. Manual triage meant slow first responses, lost hot leads, and no consistent follow-up. The team couldn't tell which leads were ready to buy and which needed more nurturing.

Previous workflow

Leads landed in a spreadsheet and a CRM that didn't talk to each other. A person reviewed each one, decided what to do, and followed up manually. Hot leads cooled during business hours; after-hours leads waited until morning. Nurture was ad hoc and inconsistent.

Solution

A layered automation architecture: Make.com pipelines ingest and route every inbound event in real time, AI classifiers detect hot keywords and buying intent, conditional logic splits buyers from sellers, and multi-touch nurture sequences run automatically with appointment reminders counted down to the meeting.

Implementation

  1. 01

Built Make.com multi-branch data routers that ingest webhooks, transform payloads, and sync records across CRM, sheets, and databases without duplicates.

  2. 02

Implemented a hot-keyword reply detection flow that analyzes inbound messages, tags priority leads, notifies the team instantly, and advances the pipeline stage automatically.

  3. 03

Created conditional buyer vs. seller routing with DND validation, branch logic, and targeted first-touch SMS dispatch plus automated task creation.

  4. 04

Designed a multi-touch lead nurture sequence combining alternating SMS and email touchpoints across a multi-day cadence.

  5. 05

Built an appointment confirmation and countdown engine that removes leads from the nurture workflow, advances the stage, and triggers 24-hour and 1-hour reminders.

My role

Sole architect and implementer — process mapping, automation design, Make.com scenario build-out, CRM configuration, and the AI classification logic.

Outcomes

  • Inbound leads routed and acknowledged in real time instead of waiting for manual triage.
  • Hot leads surfaced automatically through keyword and intent detection, removing the need for a person to read every message first.
  • Consistent, multi-touch follow-up that ran whether or not someone remembered to send it.
  • Appointment reminders fired automatically, reducing no-shows without manual effort.
